Roles and Functions Rules

Every user has one primary role. Observers and Masters Mentors can additionally carry flags that add capabilities on top of the primary. Other primaries are “pure” — they carry only their own toolkit.

Users with the Admin primary role have full system access. Remove admin rights via the People tab (row menu → “Remove admin (demote to Observer)”).

Promote to admin

Select an existing observer or mentor and grant them admin rights. Use sparingly — admins can edit every user and role in the system.

Admin reference

Passed Test vs Delete (associates): Use Passed Test when an associate completes training (run sheets kept 12 months then auto-cleaned). Use Delete only to permanently remove an associate and all their run sheets immediately.
Primary role vs functions: Every user has exactly one primary role: Associate, Observer, Masters Mentor, Masters Associate, or Coordinator. (Admin is a separate track — promote from the box above, demote from the row menu on the People tab.)

Only Observer and Masters Mentor primaries can carry functions. Associate, Masters Associate, and Coordinator are pure roles — they hold no functions and use only their own toolkit.

Functions come in two kinds:
  • Secondary role — Observer on a Masters Mentor, or Masters Mentor on an Observer. Stacks a full second toolkit on top of the primary.
  • Extra function — Coordinator, Group Training Officer, or TAC. Each adds a single tool (Coordinator Corner, or read-only/full access to the Training Team tool).
Training Team functions: Training Team (TAC) = an observer or mentor who looks after a group of other observers — read-only access to the Training Team tool. Group Training Officer = administers the whole Training Team — full admin access. Both flags surface the Training Team tool; GTO is also available as a standalone primary role for legacy users.
Destructive actions: Items shown in red in the row menu (Remove X flags, Disable account, Delete) take capability or data away. Actions that grant capability show in the default style. Deletion cannot be undone.
